The Administrative Assistant provides direct support to the Executive Director (ED) by managing scheduling, documentation, internal communication, and special projects. This part-time role ensures the ED can operate efficiently and strategically by handling key administrative tasks and serving as a reliable point of coordination across the organization. The ideal candidate is organized, discreet, adaptable, and aligned with the mission of Feeding Hands. Spanish language skills are a plus.

Key Responsibilities

Executive Support

  • Manage the ED’s calendar, schedule meetings, and coordinate logistics.
  • Prepare agendas, take notes, and assist with follow-up for internal and external meetings.
  • Draft and format correspondence, presentations, or board materials as needed.
  • Support planning and execution of strategic initiatives and priority projects.
  • Help organize documents and keep key records accessible and up to date.


Administrative & Organizational Support

  • Maintain internal systems for forms, templates, policies, and files.
  • Track deadlines for board meetings, grant submissions, and compliance tasks.
  • Prepare or assemble documents for reports, grant proposals, or audits.
  • Support guest scheduling and communication related to wraparound services, in collaboration with Assistant Director & Director of Strategic Business Operations & Development
  • Assist with monthly donor acknowledgments and supporting the creation of impact reports.
  • Order office supplies and manage organizational mail, including incoming mail processing and preparing outgoing donor or campaign mailings.
  • Manage office and volunteer room organization
  • Greet and assist visitors, guests, or volunteers during on-site hours as needed.
Qualifications
  • 2+ years of administrative or operations experience (nonprofit or service-based setting preferred).
  • Organized and detail-oriented, with strong follow-through.
  • Proactive, dependable, and adaptable to shifting priorities.
  • Excellent verbal and written communication skills.
  • High level of discretion with confidential or sensitive information.
  • Proficiency in Google Workspace or Microsoft Office.
  • Spanish proficiency is a plus.
Expectations

Expected hours of work: 15 – 20 hrs/week; Must receive approval to work over 25 hrs/week. Schedule coordinated with the Executive Director.

This is an in-person position based at Feeding Hands’ Hillsborough location. The role involves standard office and administrative tasks, including computer use, printing, filing, and supporting occasional onsite guests and volunteers. A consistent onsite presence is required to support day-to-day operations.
