Key Responsibilities

Financial Reporting & Documentation

  • Supervise the Financial Administrator
  • Supports ED and senior staff with budget preparation and tracking, monthly and quarterly financial reports.
  • Maintain organized, audit-ready financial records.
  • Create budgets for grant submissions and track grant-related expenditures. Prepare funder reports.
  • Maintain a financial calendar to ensure all critical deadlines—such as board meetings, grant submissions, and insurance renewals—are tracked and managed effectively.

Human Resources

  • Manage new employee processing and orientation, payroll (including vacation/sick/personal leave), and employee records.
  • Coordinate performance management process.
  • Assist with recruitment and selection process for new hires.

Facilities & Operational Compliance

  • Maintain records and schedules for building and equipment-related services (e.g., snow removal, waste management, pest control).
  • Track expiration dates and renewal needs for insurance policies, vehicle registrations, and vendor contracts.
  • Coordinate with service providers to ensure timely delivery and documentation of services.
  • Maintain compliance calendars and ensure documentation (e.g., vendor COIs, service agreements, inspections) is up to date.

Administrative Support & Process Improvement

  • Maintain compliance calendars and ensure documentation (e.g., vendor COIs, service agreements, inspections) is up to date.
  • Maintain & improve systems for documentation, vendor tracking, and internal controls.
  • Support the leadership team with documentation for audits, board meetings, and insurance renewals.
  • Identify process improvements in financial tracking & operational compliance.
  • Work with Leadership Team to develop Key Performance Indicators and subsequent analysis of performance metrics.
Qualifications

Technical

  • Bachelor’s degree in finance, business, or a related field preferred.
  • Minimum 3-5 years of experience finance (Non-Profit preferred),with operations, and administration a plus.
  • Proficiency with MSOffice including Excel spreadsheets (secondarily Google Sheets).
  • Experience with accounting software (QuickBooks preferred) and CRM software.
  • Self-motivated, highly organized and detail-oriented, with strong follow-through.
  • Comfort working independently and collaboratively in a mission-driven team environment.

Communications

  • Must exercise excellent oral and written communication skills
  • Ability to interface effectively and professionally with staff, volunteers, and clients (guests).
  • Have a passion for our mission and can articulate our philosophy, values, and practices to internal and external stakeholders.

Problem-Solving

  • Able to provide recommendations and/or solutions to improve processes and remove barriers.
  • Is a team player with capacity to engage in critical thinking and problem solving.
  • Possess flexibility and adaptability required of a small business environment requiring a willingness to wear different hats in helping the team and organization succeed.
Expectations

Expected Hours of Work 

  • Full time, 40 hrs/week.

Work Environment

  • This is a hybrid role onsite with flexibility for 1-2 days working remote. Light communication with service vendors is expected. Standard office and computer use apply.
